Why Collaboration Tools?

What You Will Learn in This Section

  • The value modern collaboration tools bring to businesses
  • How the PORTWARE++ tools differ from traditional methods
  • Which tool solves which business problem

In today's business world teams work from different places at different hours. Documents lost among e-mail attachments, files where nobody knows which version is current, "can you send me the latest version?" messages... Sound familiar?

The Problems with Traditional Methods

The Traditional Way

  • Documents circulate as e-mail attachments
  • File names like "Report_v2_final_latest_check.docx"
  • Knowledge in people's heads or scattered notes
  • Separate software needed for diagrams
  • "She's on leave, nobody else knows" situations
  • No version control, risk of overwriting

With PORTWARE++

  • A single source of truth
  • Automatic version history
  • Knowledge open to everyone on wiki pages
  • Diagrams embedded directly in the content
  • Company memory is preserved
  • Real-time co-editing

The Collaboration Lifecycle

An effective digital collaboration process has these stages:

Idea Take notes in SOTION
Planning Diagram with SODRAW
Document Prepare it in PORTWARE Office
Collaboration Edit together
Archive Knowledge stays
SOTION knowledge base page

SOTION — workspace, page tree and a handbook page; sub-pages below

  3. Videos, diagrams and checklists embedded
  4. The new employee learns self-service
  5. The content always stays current

Page Management

In SOTION everything is built on the "page". Pages are organised hierarchically - like the chapters and sub-headings of a book.

Page Structure

Workspace Type Access Example Use
Workspace The whole team Company wiki, procedures, shared knowledge
Private Only you Personal notes, drafts, journals
Favorites You + those shared with you Frequently used important pages

You can organise your pages in 3 areas:

  • Workspace - pages shared with the team
  • Private - pages only you can see
  • Favorites - pages you have starred (quick access)

The Variable System: {{variable}}

Variables let you manage information that repeats in a page from one place. Update a variable and every use of it in the page updates automatically.

Using Variables

Example: Project Information

Variable definitions:

{{project_name}} = "PORTWARE ERP Migration" {{start_date}} = "15 January 2026" {{project_manager}} = "Ahmet Yılmaz" {{budget}} = "₺250,000"

Use in the page:

Project: {{project_name}} Start: {{start_date}} Manager: {{project_manager}} Total Budget: {{budget}}

Now if the project name or date changes, updating the variable definition is enough. Every {{project_name}} in the page updates automatically.

Variable Types

Type Example Used For
Text {{company_name}} Company, project and people's names
Date {{last_update}} Deadlines, meeting dates
Number {{target_qty}} Metrics, targets, prices
Link {{document_link}} Links to related resources
Tip: Use variables with consistent naming rules. For example, use the project_* prefix for project information and the date_* prefix for dates.

Important: Merging records cannot be undone. Review both records carefully before merging and decide which data to keep.

PORTWARE AI - AI Assistant

What You Will Learn in This Section

  • Natural-language queries with PORTWARE AI
  • Creating and editing records automatically
  • Chat sessions and history
  • AI-assisted business process automation

PORTWARE AI is an AI assistant built on OpenAI GPT. By giving commands in natural language you can create records, run queries and speed up your business processes.

What Can You Do with AI?

  • Create records: "Create a 5,000 TL quotation for ABC Company"
  • Query: "How many new opportunities were opened this month?"
  • Report: "How did sales perform last week?"
  • Update: "Update the phone number of customer XYZ"
  • Search: "List the customers in Istanbul"

Cowork conversation and approval card

Cowork summarises the quotation and puts the task to you — Approve writes it, Cancel changes nothing

Cowork chat history

Chat history — earlier conversations with their dates; pick one to continue where it stopped

Tip: Give the AI clear, precise commands. Detailed instructions such as "Create a new customer record named ABC Ltd., e-mail: info@abc.com" work better than "add a customer".
Note: PORTWARE AI uses the OpenAI API. A valid API key is needed; configure it in Settings > PORTWARE AI.

Frequently Asked Questions

What is the difference between SOTION and the commercial Knowledge app?

Knowledge is a module exclusive to the paid commercial edition. SOTION is PORTWARE's own advanced, Notion-like knowledge management system, with the variable system ({{...}}), select properties ([[...]]) and richer organisation features.

How many people can work in PORTWARE Office at the same time?

In theory PORTWARE Office has no limit, but in practice 10-15 people editing at once gives the best performance. 100+ people can view, but synchronisation may slow down as the number of active editors grows.

Can I export SODRAW diagrams?

Yes, you can export SODRAW diagrams as PNG, SVG or PDF. You can also copy a diagram and paste it into other applications.

Can I make SOTION pages accessible from outside?

SOTION pages are currently open to PORTWARE users. A share-link feature for outside access is being developed. As an alternative, you can export the content as PDF.

Do all Excel formulas work in PORTWARE Office?

PORTWARE Office supports more than 400 Excel formulas. The core formulas (SUM, VLOOKUP, IF, DATE, etc.) are fully compatible. Some advanced or Excel-specific formulas may be limited. Macros (VBA) are not supported.

Can I write formulas with exTable?

No, exTable is an advanced editing tool for HTML tables and has no formula engine. For tables that need calculation we recommend PORTWARE Office (Excel).

How long is version history kept?

PORTWARE Office keeps the last 10 versions automatically; older versions are cleaned up automatically. To archive critical documents, we recommend saving important versions separately.

Can I use it on mobile devices?

SOTION and PORTWARE Office work in mobile browsers, but the best experience is on desktop browsers. SODRAW supports viewing on mobile devices; a desktop is recommended for editing.

Best Practices

Organising SOTION

  • Keep the hierarchy to 3-4 levels (deep structures get confusing)
  • Give each workspace a single purpose
  • Make page names descriptive and consistent
  • Use emoji icons consistently (📘 procedure, 📋 checklist)
  • Group variables with a prefix

Collaborating in PORTWARE Office

  • Keep track changes on
  • Tag people in comments with @mention
  • Fast mode for active collaboration, Strict mode for independent work
  • There is NO need to put versions (v1, v2) in document names
  • Back up important documents regularly

SODRAW Diagrams

  • Keep them simple - more than 10-15 shapes looks cluttered
  • Use colours consistently (green: approve, red: reject)
  • Make the direction of arrows clear
  • Split complex processes into sub-diagrams
  • Add note boxes

Security & Access

  • Keep sensitive documents in the "Private" area
  • Review access regularly
  • Share exported files securely
  • Set up an approval flow for critical content
  • Archive before deleting
Pro Tip: When you create a new workspace or document structure, first draw the hierarchy on paper or in SODRAW. Starting with a plan reduces the need to restructure later.
