Introduction

THE STORY OF THE NAME

Where the name PORTWARE comes from

Technology’s three powers share one root: -ware, Old English for “goods of value”. PORTWARE brings the three into one ecosystem and puts a port in front of them: the gate that connects, carries and opens.

portware

soft · firm · hard + port → portware

softwareSoftware · the mindsoftware

The mind that runs the work: from sales to production, finance to documents, every process on one record base, end to end.

firmwareFirmware · the bridgefirmware

The software that lives inside the device: the bridge that ties the drive, the PLC and the sensor to the work on the floor.

hardwareHardware · the powerhardware

Machines, servers, sensors and robots: the side of the work you can touch, the side that produces.

portPort · the connectionport

In Latin porta is a gate, portus a harbour, portare to carry. In computing a port is a point of connection, and to port software is to carry it to a new platform.

BEYOND SOFTWAREPORTWARE starts with software and does not stop there: it joins firmware and hardware into the same ecosystem and, with AI and integration, carries that power to every corner of the business. Beyond software.

Introduction

ONE PLATFORM FOR YOUR ENTIRE BUSINESS

Productive Business Management System

Classic business software records what happened; people still do the work. In PORTWARE the office is built in, the processes are ready and the AI works like a team member in almost every module.

A system that keeps records

  • Stores the data, leaves the work to you
  • Documents are written in another program
  • Every process is set up from scratch
  • A report waits until someone asks

PORTWARE: a system that does the work

  • The office built inWord, Excel and slides open on the record, are edited there and keep their versions; differences show cell by cell.
  • Processes ready to runFlows with their steps in place, from quotation to production, quality to accounting.
  • An AI team memberCowork drafts quotations, writes reports and documents, checks stock; it works in the system like a user.
  • It moves the work onIt opens the day with a briefing and proposes the next step; nothing is written without your approval.

PORTWARE, the productive business management system: within your permissions, with your approval, on your server.

Introduction

MEASUREMENT

Not a claim — a count

These are not marketing figures: they are counted by the documentation tooling as it scans the installed system, and they are recomputed every time the docs are built.

What you gain: The figures are not marketing promises; they are counted from the system itself.

257documented modules
534data models
363web routes
11.817automated tests

Introduction

AGENDA

What we will cover

The foundation first: every application and its daily processes, each on its own screen. Then the layers that make PORTWARE different, and last the platform and getting started. The “Guide” button on every slide opens that topic’s detailed documentation.

What you gain: By the end you will have seen, part by part, which piece of your work PORTWARE makes easier and how.

1 · Applications and processesEvery application at a glance, then each one on its own screen, from CRM to accounting.
2 · The PORTWARE differenceWe meet what goes beyond the open-source core, what commercial suites charge for, and what makes data entry easy.
3 · AI inside the workWe see the assistant that knows the screen, meeting notes, the digital team, the providers and safe web research.
4 · Documents and knowledgeWe see how office files, the knowledge base and drawings live on the record.
5 · Tasks and planningWe see tasks from any record, calendar planning and team workload.
6 · Strategy and channelsWe meet live dashboards, the scorecard, budgets, OKRs, the contract-to-installed-base chain and the dealer portal.
7 · Platform and getting startedWe cover the stack, the hardware in the field, permissions, modules and how to get started.

This deck is both an introduction and a training guide: sharing its link is enough for a reader to get to know the product end to end.

Introduction

SOUND FAMILIAR?

Does this sound familiar?

Sentences heard in every company, every week. None of them is anyone's fault; they come from information living in too many places.

“Which spreadsheet is current?”Three people, three versions of one list; nobody knows which is right.
“The customer called — who had this?”The thread sits in a personal inbox or notebook; no answer until a colleague is back.
“In the system, not on the shelf.”Counts are written in one place, shipments in another; the numbers never match.
“The approval got lost in email.”Who approved, when, at what price — found only when someone searches.
“We type the same data three times.”Quote in Word, order in one program, invoice in another; every copy adds an error.
“The month-end report takes three days.”The report is stitched by hand from several files; when it is ready it is old.
“The employee left, and so did the knowledge.”Customer history, pricing logic, the latest drawing — all on one person's laptop.
“We bought a system, nobody uses it.”Entering data feels like extra work, and missing data empties every report.

Introduction

WHAT HOLDS GROWTH BACK

Companies slow down from disorder, not from work

The biggest obstacles to growth are the same in most companies: work cannot be traced, follow-up depends on people, and order falls apart as the company grows. PORTWARE builds the order and the system that solve these, and much more.

What you gain: Growth comes with order: PORTWARE makes work visible, followed up and scalable.

TraceabilityWho did what, and when, is plain: every job, document and decision sits on its record, with its history.
Action and follow-upA decision is not lost in e-mail: it becomes a task with an owner and a date, and the morning briefing reminds.
ScalabilityA new team, branch or application opens in the same system; the process depends on the system, not on a person.

Introduction

CORPORATE MEMORY

What the company knows stays with the company

A company is more than its people and machines: it is its products, its assets, the work it has done and the relationships it has built. PORTWARE manages all four on one record base, and those records become the company's memory.

What you gain: Corporate memory guides employees in their work and protects the company's existence and continuity.

Product assetsParts, revisions, bills of material, drawings, CAD and documents: every version and why it changed.
Company assetsMachines, equipment, vehicles, fixed assets and calibration: who has them, their upkeep and their cost.
WorkProjects, tasks, orders, decisions and meetings: who did what and when, and what was decided.
RelationshipsCustomers, suppliers, dealers and employees: every conversation and agreement on the record.

A newcomer learns from the record, not from whoever remembers; when someone leaves, the knowledge stays.

Introduction

WHAT WE REPLACE

What PORTWARE replaces

Our rival is not only other software: it is Excel, and the paper-and-memory way of working too.

Today’s wayWhere it stopsWith PORTWARE
Excel and shared filesVersion chaos, formula errors; nobody knows who changed whatOne database; office files on the record, differences cell by cell
Paper, WhatsApp and memoryWork depends on people; when they leave, the knowledge leavesEvery job is recorded and traced; owner and date in the system
Bare open-source ERPsNo office suite, AI, PLM or dashboardsThe world's most widely used open-source core with 119 modules of its own; Turkish, installed
Commercial ERPsA yearly licence per user, a fee per modulePaid once, every application included; data on your server
Separate SaaS toolsEach its own users, bill and data; integrations in betweenOne login, one permission model; no bridges between data

PORTWARE puts one order in place of all of these.

Introduction

THE ANSWER

Each one has an answer in the system

TodayWhat it costsIn PORTWARE
Scattered spreadsheet versionsWrong prices, wrong stockOne record, one number for everyone; a spreadsheet, when needed, opens on the record
Threads in personal inboxesCustomers wait, knowledge is lostEvery record has its own thread, notes, file folders and tasks
Separate stock and shipping listsCount differences, late deliveriesConfirming an order creates the delivery itself; it is scanned by barcode
Approvals in emailCannot be found at audit timeThe approval, who gave it and when, stays in the record's history
Typing the same data three timesWasted effort and inconsistencyQuote → order → delivery → invoice from the same data, one click each
Reports stitched by handLate, disputed decisionsDashboards and a scorecard always current; every number has a written definition

Introduction

One source of truthOne data model from CRM to production, quality to finance; information is entered once.
Hands-free AICowork sees your screen, hears your voice and asks before it acts.
Nothing is ever lostEvery text and office file keeps its versions; differences show cell by cell, and restore.
Recognise before you readLogos and icons on cards, product pictures on lines; the right record at a glance.
You stay in controlFolder-level permissions, no e-mail leaves unapproved, internal notes never printed.

Introduction

WHAT PORTWARE ADDS

What one system gives you

The same jobs can be done with separate products; the difference is in what gets lost in the gaps between them.

No integration projectOne database from CRM to accounting: no sync errors, no overnight transfers, no duplicate records.
One login, one permission modelAn employee is set up once; when they leave, access closes in one place.
AI that sees the whole companyCowork reads customers, stock and accounting together; an outside chat tool cannot reach them.
Data on your serverCompany knowledge is not spread over dozens of foreign clouds; one address for data protection.
Turkish and localInterface, guides and voice in Turkish; e-invoice, e-archive and public holidays ready.
A new app is not a new projectOpening an application needs no new purchase, no new setup and no new data transfer.
One training, one handbookEvery application has the same screen layout; this deck and the guides cover them all.

Introduction

AN HONEST LINE

It works with what stays

PORTWARE does not replace every product. Some stay where they are; PORTWARE talks to them and keeps the result on the record.

CAD design softwareDesign goes on in SOLIDWORKS, Inventor or Fusion; files, revisions and BOMs live in PORTWARE PLM.
WhatsAppIf the customer is on WhatsApp, they stay there; a message opens from their record in one click.
Your email accountAn Outlook or Gmail account is connected; replies to email sent from a record return to it.
Microsoft Office files.docx, .xlsx and .pptx open as they are and save in the same format; a file you send opens in Office.
e-Invoice providerE-invoices and e-archive go to the tax authority through a licensed provider; the status shows on the invoice.
Other systemsOther systems read and write PORTWARE data through its open API; old data is imported when you move.

ONE SYSTEM

The whole company in one database

“Sales in one program, stock in another, accounting somewhere else.”

No files carried between separate programs: quotation, order, shipment, production and invoice are links of one chain.

What you gain: Every record is entered once, from sales to accounting; what changes on one screen is right on every other screen at the same moment.

  • CRM and salesPipeline, quotations, orders, subscriptions.
  • Purchasing and inventoryRequests, orders, receipts, deliveries, counts.
  • Manufacturing and maintenanceBills of materials, work orders, equipment, repairs.

The difference

  • Versus spreadsheetsNo copy-paste between files; every number has one owner.
  • Versus other systemsAdding a module is not an integration project; it is one more app on the same database.
  • The PORTWARE wayOn your own server, without licence renewals; the data is yours.

USER INTERFACE

The anatomy of a screen

What you gain: Learn one screen and you know them all: buttons and information sit in the same place in every app.

A quotation record — the same shell on every screen.12345

CRM FUNDAMENTALS

From a lead to a loyal customer

“Who last spoke to this customer, and about what?”

What you gain: You can tell apart someone you have just met, business you could win, and your regular customers.

  • LeadA person or company you have just met and not assessed yet.
  • OpportunityBusiness you have discussed and believe you can win.
  • CustomerA party you now do business with.

The difference

  • Versus spreadsheetsThe pipeline lives on no one's desktop; stages and amounts are the same for all.
  • The PORTWARE wayAn icon on every card says its topic: the right one among a hundred at a glance.
  • The PORTWARE wayThe morning briefing names a neglected customer before you ask.
portware.io/portware
1Stage totals2Topic icon3Board, list, calendar, chart

The process runs from lead to opportunity to customer: it starts with a wide list and continues with the right people.

The application map

SALES PIPELINE

How an opportunity moves

“Did the quote go out, did they answer, where is the file?”

What you gain: Everyone sees on one screen which step each sale is at and what it is waiting for.

  • New leadFirst contact, source tracking, automatic assignment rules.
  • QualificationEstablishing the need, the budget and the authority to buy.
  • QuotationPricing, presentation, negotiation.

The difference

  • The PORTWARE wayQuotes, drawings and contracts in the opportunity's own folders, with icons.
  • The PORTWARE wayAn activity becomes a task in one click; who holds it shows on the record.
  • Versus other systemsThe thread updates live on the record; you see who is looking and typing.
portware.io/portware
The opportunity form keeps expected revenue, probability, the planned activity, tasks and icon folders on one screen.

The application map

THE PORTWARE LAYER

CRM PLUS

Win probability, with its reasons

The standard estimate learnt from too few records and said 93–99% for everything. The PORTWARE engine starts from the stage’s real rate, adds live signals and states each factor’s share in points.

What you gain: The sales manager reads why it is low and the next step; the number is not argued, the work is done.

Live signalsLast contact, next step, closing date, customer replies, quotations and customer history.
Every factor explainedUnder the probability, what it rests on; the tooltip shows each factor’s effect in points.
Back from opportunity to leadAn opportunity opened too early goes back to a lead with every value kept.
Lost reasons and rottingA lost reason is required; an opportunity untouched for 21 days is flagged.

The application map

SALES

From quotation to order

“Are we selling at a loss at this price?”

What you gain: Quotation, order, delivery and invoice are stages of one document; nothing is typed twice.

  • QuotationsProduct lines, pricelists, discounts and templates; the PDF in one click.
  • Customer approvalThe customer opens the quotation from a link, signs it or pays.
  • Order to deliveryA confirmed quotation becomes the order, the delivery and the invoice.

The difference

  • The PORTWARE wayCost and net price on each line; a line below cost warns you.
  • The PORTWARE wayThe customer's own order code travels from quote to delivery note and invoice.
  • Versus spreadsheetsProduct image on each line and a PDF in one click; no copying Word templates.
portware.io/portware

The application map

PURCHASING

From request to invoice

“We retype the vendor's proforma into the system, line by line.”

What you gain: Purchasing is not guesswork: stock rules, the production plan and the sales order all feed the same requirement.

  1. 1
Request for quotationAsk several suppliers for prices and compare them side by side.
  2. 2
ApprovalApproval tiers by amount, with multiple approvers.
  3. 3
Purchase orderThe order itself: delivery dates and terms.
  4. 4
ReceiptPartial deliveries, delay warnings, quality checks.
  5. 5
Vendor billOrder, goods received and bill are checked against each other — no overpaying.
A request for quotation shows the product lines, the delivery date and the conversation with the vendor together.
A request for quotation shows the product lines, the delivery date and the conversation with the vendor together.

The difference

  • The PORTWARE wayGive the proforma PDF to Cowork; the purchase order is prepared in one step and waits for approval.
  • Versus spreadsheetsOrder, receipt and bill are matched automatically; no overpaying.
  • The PORTWARE wayAn RFQ converts to another currency at the rate you type.

The application map

PURCHASING

Managing the supply chain

“We learn which order is late only when the customer asks.”

What you gain: What was ordered, when it arrives and what is late — at a glance.

  • Request for quotationSeveral suppliers, compared side by side.
  • Approval flowTiers by amount, with email notifications.
  • Delivery trackingExpected dates, delay warnings, partial receipts.

The difference

  • Versus spreadsheetsExpected dates and delays in the list; no tracking sheet to maintain.
  • The PORTWARE wayThe purchase form and PDF carry the same care and look as the quotation.
  • The PORTWARE wayThe budget answers purchase orders and bills: overspending shows up front.

INVENTORY

The right item in the right place

“In the system, not on the shelf.”

The right item · in the right quantity · at the right time · in the right place.

What you gain: Stock is the single truth behind every movement from sales to production — no two numbers in two places, and no surprises on counting day.

Multiple warehouses — Unlimited warehouses and locations: aisle, rack, bin.Transfers — Movement between warehouses and stock in transit.Min/max rules — Automatic replenishment and reorder points.Lots and serial numbers — Batch tracking, serial numbers, expiry dates.

The difference

  • Versus spreadsheetsEvery move is a document: who, when, from where to where.
  • Versus other systemsReceive and ship by scanning barcodes; no typing.
  • The PORTWARE wayThe delivery note carries what Turkish and European shipping practice expects.

MANUFACTURING

From the plan to the work order

“Production learns what to build from sales, by phone.”

What you gain: You see which job is on which machine and where it stands without asking anyone.

Demand planning — Forecasts, open orders, safety stock.Capacity planning — Work-centre loading, shifts, bottleneck detection.Manufacturing orders — Automatic work orders, prioritisation, tracking.Purchase suggestions — Finds missing materials and asks suppliers for prices.

The difference

  • Versus spreadsheetsA sales order works out material needs from the bill of materials itself.
  • The PORTWARE wayDrawings open in the browser without a CAD program; the shop floor sees the right revision.

PRODUCT LIFECYCLE

Products and product lifecycle management (PLM)

What you gain: A product's drawing, revision, price and stock sit on one card; production always uses the released version.

Engineering code and revision — Every part is tracked by code and revision; old versions stay in history.Change request → order (ECR → ECO) — The impact analysis shows open production, orders and stock live; releasing the new revision obsoletes the old.Documents, 3D and CAD — STEP, IGES, DXF and PDF files on the part; models open in 3D in the browser.

CAD

The drawing, without a CAD licence

STEP, DXF, DWG and STL files open from the record straight in the browser. Sales, purchasing and production look at the same model.

BILL OF MATERIALS

Bill of Materials

“Whose file has the latest bill of materials?”

What a product is made of, and in what order.

What you gain: A system that knows what a product is made of tells you about missing parts before production starts.

Part 3
Part 4

A bill of materials comes in four types: standard, kit, phantom and multi-level.

Standard BOMPhantom BOMKit BOMOperationsRevisionsPLM link

The difference

  • Versus spreadsheetsOne bill of materials; cost, stock and purchasing all read from it.
  • The PORTWARE wayProduct notes and descriptions keep a version history; any change can be undone.

The application map

QUALITY

Inspection, nonconformity, 8D, calibration

“The auditor is here — where are the calibration records?”

The moment a defect is found it becomes a record with an owner, a cause and proof of closure.

What you gain: A failed inspection opens its own nonconformity, and closing needs a signed effectiveness check — quality is closed in the system, not on paper.

Inspections and triggers — At receipt, in production and at shipping; every time, random % or periodic.Sampling (AQL) — Every unit, a fixed quantity or the ISO 2859-1 tables. One nonconformity record — NCR, supplier SCAR, customer complaint, audit finding. The 8D flow — Draft → Open → Investigation → Action → Verification → Closed; every step has a condition.

The difference

  • Versus spreadsheetsNonconformities, 8D and calibration dates in one place, with reminders.
  • The PORTWARE wayThe control plan runs as data; supplier scorecards build themselves.

MAINTENANCE

Equipment and field service

“Why did this machine stop last time?”

Three kinds of maintenance in one ledger: preventive, corrective and predictive.

What you gain: Maintenance accumulates on the equipment’s own history: faults, spare parts and cost all on the same asset record.

Preventive maintenance — Scheduled periodic service and checklists.Corrective maintenance — Fault reports, prioritisation, repair.Predictive — Early warnings from sensor and usage data.Equipment records — Asset details, specifications, warranty tracking.

The difference

  • Versus spreadsheetsFaults, maintenance and cost accumulate on the machine's own history.
  • Versus other systemsPreventive maintenance on the calendar; stages moved by drag and drop.

The application map

ACCOUNTING

Double-entry accounting

“We issue the invoice and accounting re-enters it at month-end.”

What you gain: Accounting is not a ledger typed up afterwards but the output of the work itself: the delivery produces the invoice and the invoice produces the entry.

Chart of accounts — The Turkish uniform chart of accounts, multi-company, customisable.Invoice management — Customer and vendor invoices, credit notes, e-invoicing.Payments — Receipts, payments, cheques and notes, bank reconciliation.Reporting — Balance sheet, income statement, trial balance, ageing.

The difference

  • Versus spreadsheetsSales and purchase documents write the journal entries themselves; no re-entry.
  • The PORTWARE wayA thirteen-week cash view is built from dated documents on its own.

The application map

TÜRKİYE e-INVOICING

Turkish localisation

“We call a developer every time the invoice layout changes.”

The real cost of running a foreign ERP in Türkiye is usually not the licence — it is the missing localisation.

What you gain: e-Invoicing is not an add-on bolted on later: it lives where the invoice is born, and goes to the tax authority from there.

  • e-InvoiceApproved sending and receiving, scenario handling, integrator connectivity.
  • e-ArchiveConsumer invoices, digital archiving, PDF generation.
  • e-WaybillElectronic dispatch notes and chained deliveries.

The difference

  • The PORTWARE wayInvoice and document templates are edited on screen.
  • Versus other systemsTurkish interface, Turkish documents, the local chart of accounts.
portware.io/portware

The uniform chart of accounts, tax offices, Turkish banks and withholding rules come with the installation.

The application map

HUMAN RESOURCES

The employee lifecycle

“Nobody is quite sure who is on leave and who is on what.”

What you gain: One employee record from hiring to payroll: leave, hours and cost all accumulate on the same person.

  • RecruitmentJob posts, candidate tracking, interview scheduling, offers.
  • Employee recordsPersonal details, contracts, the organisation chart.
  • Time offAnnual leave, personal and sick leave, all self-service.

The difference

  • Versus spreadsheetsLeave, holidays and timesheets on one calendar; no separate sheet.
  • The PORTWARE wayLeave hours are booked on their day; public holidays show in every calendar.
portware.io/portware

The application map

HUMAN RESOURCES

Recruitment, time off and timesheets

“Candidates' CVs are scattered across inboxes.”

What you gain: From candidate to employee, from a leave request to payroll input, every people step sits on the same person's record.

Recruitment pipeline — Stages per position, applicant cards, interview planning.Time off — Request, approval, balance; visible on everyone's calendar.Timesheets — Hours on tasks and projects; invoicing and cost come from here.

The difference

  • Versus spreadsheetsEach position has its own applicant pipeline; interviews and notes on the applicant.
  • The PORTWARE wayEach person has a distinguishable colour on the timesheet calendar.

PROJECT MANAGEMENT

The four phases of a project

“Where the project stands becomes clear only after a meeting of questions.”

What you gain: Where a project stands is known from its tasks in the system, not from guesses.

  • PlanningDefining the project, assigning resources, setting the schedule.
  • ExecutionAssigning tasks, tracking progress, working together.
  • MonitoringGantt views, time tracking, reporting.

The difference

  • Versus spreadsheetsDates, owner and task count on the card; no status report to write.
  • The PORTWARE wayEvery project shows its topic as an icon; the portfolio reads at a glance.
portware.io/portware

The application map

PROJECTS

From a task to an invoice

TÜRKİYE AI ACTION PLAN 2026–2030

In step with the national plan

The Ministry of Industry and Technology’s plan rests on four axes: Notice, Benefit, Produce, Govern. For a company the most concrete is Benefit: putting AI into everyday work. PORTWARE does that today, installed.

What you gain: AI adoption is not a separate project: it runs in the same system, under your permissions and approval, at a measured cost.

Notice · literacy and dataAn assistant on every screen and a handbook bring AI to everyone’s job; the data sits in one database, clean and defined.
Benefit · use at workMeeting notes, a morning briefing, a digital team, an assistant that builds dashboards: a ready solution for an SME, no integration project.
Produce · domestic and localBuilt in Türkiye; Turkish interface, voice and e-invoicing. If you wish, the model runs on your own server.
Govern · trust and securityIt never writes without approval, every action leaves a trace, spend is on a ledger, and the data has one address for KVKK.

COWORK AI

An assistant that knows the screen you are on

It opens on every screen and talks about the record in front of you. It asks for confirmation before it changes anything.

What you gain: You no longer need to know the ERP to use the ERP: you say what you want, and the system knows which field on which screen that is.

  • Multiple providersOpenAI, Gemini, Claude and others — behind one interface.
  • In-screen conversationAsk about the record on the page, immediately.
  • Data analysisProject summaries, customer reports, table interpretation.
  • Updating recordsChanges in plain language — behind a confirmation step.

The assistant does not only write text; it calls the system’s own operations. A tool that reads runs directly; a tool that WRITES waits for your approval.

What you gain: Authority stays with you: the AI says what it will change, you approve it, and if you dislike the result it is undone.

  • In every moduleCRM, sales, purchasing, inventory, manufacturing, PLM, quality, accounting, HR, projects, field service and e-invoicing.
  • Approval before writingThe proposed change sits on screen; no record changes until you approve it.
  • UndoChanges the assistant made are kept for the session and can be rolled back.

AI PROVIDERS

The world’s leading models, behind one interface

Claude, OpenAI, Gemini, DeepSeek, GLM, Mistral and Groq; ElevenLabs for voice; PORTWARE Local AI on your own server. Every job goes to the model that does it best.

What you gain: You are not tied to one AI company: the provider changes, your workflow and your data’s address do not.

The model fits the jobA short question goes to a fast, cheap model; heavy analysis and writing to a strong one.
A backup in an outageIf one provider cannot answer, the turn falls to the next.
Voice and speechTurkish transcription and natural reading with ElevenLabs and OpenAI; names said right.
Local AIWith PORTWARE Local AI (Ollama) the data never leaves the server.

THE PORTWARE LAYER

WEB RESEARCH

It researches the web, and keeps the company in

It researches through privacy-minded search such as Brave, Tavily and DuckDuckGo and writes with sources. Information flows one way: from the web into the company.

What you gain: No browsing in a personal browser under a company account: research leaves through the server’s one door.

One door outEvery address is checked: internal networks, local services and private addresses are refused; redirects are followed one by one.
No cookies, no sessionsPages are read by the server, anonymously; nobody’s session, password or browsing history travels.
Untrusted content, labelledText from the web enters in an “external source” envelope; instructions hidden in a page cannot steer the assistant.
Limits and a rate ceilingSize, content type and requests per person per minute are fixed in code; no setting loosens them.
Nothing without a sourceThe digital team’s research brief cites every fact; a sentence without a source is not delivered.
Trace and costWhich search, which page, what cost: it stays on the job’s record.

AI CLIENTS (MCP)

PORTWARE from Claude, ChatGPT and Cursor

Every AI client that speaks the Model Context Protocol connects to PORTWARE at one address and uses all of Cowork’s tools, with the rights of the person who connected it.

What you gain: Your team stays in the AI tool it likes; PORTWARE’s permissions, trail and approval are the same everywhere.

One address, two ways inClaude and ChatGPT sign in to PORTWARE in the browser; tools like Cursor take a personal key.
With your own rightsThe client sees what you see and changes only what you could change yourself.
Every change can be undoneA write runs after the client asks you, and appears in the Cowork panel with an undo button.
Critical work stays in PORTWAREInvoices, payments, approvals and e-invoicing never run on a client’s say-so; they wait for you in PORTWARE.
Every call on the ledgerPerson, client, tool, duration and outcome are recorded; each access has a rate limit.
Revoke in one clickEvery connected client is listed in the profile; a revoked access is refused on its next request.

THE MEETING ASSISTANT

You hold the meeting, PORTWARE takes the notes

In a PORTWARE call, on request, the assistant joins: a transcript by speaker, the note an expert in your business would write, and actions that become tasks in one click.

What you gain: “I’ll do that” said in a meeting is not forgotten: it lands in the system with its owner and date.

On request, in the openRecording starts only when someone starts it; the call and the thread are told it is being recorded.
Speakers told apartAudio is captured per participant; every sentence in the transcript carries its speaker.
An expert’s noteThe company’s own knowledge and the customers, projects and products named are read first; jargon is not mistaken for names.
A task in one clickEvery action is listed as who, what and when; one click makes it a project task or an activity.
People have the last wordThe note is a suggestion: one a person edited or approved is never overwritten; the previous version can be restored.
Audio is not keptThe transcript and note stay; the raw recordings are deleted on a set day, and the deletion is recorded.

COWORK ASSISTANTS

A digital team: it takes work, it never decides

An assistant is a user of a different kind. It is assigned a task like a colleague; it researches, drafts, watches, summarises, writes the result into the task and waits for a person.

What you gain: The digital team prepares the repetitive work and people only decide; who did what and what it cost is known.

An identity and an ownerNo password, cannot log in; it has a named owner, working hours and a scope.
Written skillsEach skill states what it reads, what it delivers and its cost ceiling.
Automation firstA step that can be done by rule is done by rule; the model is called only for judgement.
Fields it may never touchA decision’s state, a contract signature, a posted invoice, a closed task: written down as rules.
It has a budgetA monthly and daily budget; every job’s steps, provider and cost on record.
It calls a personWhen the work is ready it opens an activity for its owner; the final decision is always a person’s.

HANDS-FREE · LIVE VOICE

Hands-free: run PORTWARE with your voice

Talk, interrupt, redirect; Cowork sees your screen, answers aloud and writes every word. Voice is the summary; the screen is the record.

What you gain: You get work done even with your hands busy; everything said, and every approval, leaves a written trail.

Knows who you are talking toTalking to someone beside you does not interrupt; stop, go on, repeat, summarize, louder work mid-answer.
One approval, the job is doneA multi-step job arrives as one card; “yes, I approve” is all it takes.

THE MORNING BRIEFING

Every morning at 08:00, before you ask

What you gain: The day starts with the list, not with the search for what was forgotten.

A badge on the top barWhen it is ready the COWORK icon carries a badge.
Scoped to the personEach person sees their own work; no findings means no briefing.

PORTWARE Office

PORTWARE Office — Powered by ONLYOFFICE

Documents are edited by the open-source ONLYOFFICE Docs. PORTWARE brings it inside the ERP and adds a layer around it that works on the document itself.

What you gain: Quotes, contracts and specifications never leave the system: the file on the record lives beside the record’s data, versioned, its differences shown cell by cell, and discussed in place.

  • Live co-editingSeveral people edit the same document at the same time, with live cursors and comments; no file goes round by e-mail.
  • Differences, cell by cellEvery save is a version. In Excel each changed cell is shown, formula or value; in Word text and formatting changes are coloured.

Plan the task on the calendar: set the workload percentage, split it across days if needed; the allocated time covers the sub-tasks. Everyone sees the same plan in Calendar › My Work.

What you gain: The assignees' other work is in view while dates are picked; a conflict turns orange or red, the decision is yours.

    PROJECTS · THE PLANNED WINDOW

When work is done is not the same as when it is due

In the standard core a task has a deadline but no window: there is no answer to “when is this being worked on”. Workload is the work spread over that window; without a window there is nothing to compute.

What you gain: The timeline, the team workload and the sprint capacity all read this one field; without it the other three would be guesses.

    • On the person's own calendarAn eight-hour task starting Friday afternoon ends Monday, not Saturday.
    • It refuses to guessWith no working calendar there is no window; a fabricated one would silently break every workload figure.
    • Portable dataThe planning fields follow the common naming, so the data keeps its meaning if it ever moves.
    • Uncounted work is not hiddenA task with no window or no hours is shown apart as “not counted”.
    • Three loads, kept apartWork, approved leave and meetings are read separately: 100% from leave is not 100% from work.

    Timeline and team workload

When work is assigned, the person's load for that week is in view. The Gantt view the open-source core lacks was added as a real view type.

What you gain: The decision stays human — but it is made with the numbers in view. The warning never blocks an assignment.

Timeline — Search, filters, grouping; task and sub-task hierarchy.Fits the working calendar — Work dropped on a Friday lands on Monday, not the weekend.Team Workload — Tasks, meetings, leave and public holidays, each shown apart.Uncounted work is shown — Tasks without a window or hours are counted and named.A derived window is drawn hatched — A bar the system computed does not look like one a person confirmed. The critical path reads blockers only — “Relates to” is not a date rule and never moves a schedule.

Every project picks its own method

Scrum, Kanban, Waterfall or Stage-Gate. A project that chooses none sees no change at all — a method is a declaration, not an imposition.

What you gain: The Jira way of working, inside the ERP: sprints, releases and links — on the same data as working calendars, leave and timesheets.

Sprints — What was promised, what is done and what is left — as charts.Backlog board — Drag work into the coming periods.Stage-Gate — Phase transitions need approval; the requester cannot approve.Releases and components — Target and release dates kept apart; every component has an owner.Typed links — Relates to, duplicates, causes — without moving the schedule.Work item types — From the big goal to the small job: initiative, epic, story, task.

The chart says where the work is stuck

Looking at a board and saying “we are busy” is easy. Swimlanes, flow and burndown make it measurable.

What you gain: A bottleneck is seen rather than guessed: which stage work piles up in, and whether the promised scope is actually finishing.

    • Swimlane boardSplit the same board into rows by person, epic or priority.
    • Cumulative flowA thickening band shows work piling up in a stage.
    • BurndownPromised scope and remaining work on one axis.

What you gain: Sales, support and management see where the code is, which work is done and which requirement is met, without opening GitHub.

A dashboard is not decoration but management’s common language: sales, invoicing, receivables, cash and pipeline at once, against last year, with the records behind every figure.

What you gain: The weekly meeting is spent deciding, not collecting figures: everyone looks at the same live, defined number.

    • One true numberA metric is defined once; sales and finance see the same figure, and “which spreadsheet is right” ends.
    • Live, within permissionsEvery widget reads live data with the user’s permissions; sample or invented figures are never drawn.

What you gain: Dealer traffic lands in the CRM: who asked for what, at which stage and for how much — channel revenue becomes a record, not an estimate.

llms.txt and llms-full.txtA machine-readable summary generated from the site's own content.

    Who sees what

Access control is not just hiding a screen: records are protected at the rule level, and every change leaves a trace.

What you gain: Everyone sees only what their job needs, and who changed what is always known.

    • Roles and groupsUsers join groups and groups imply one another; access is inherited rather than copied.
    • Record rulesOn the same screen different users see different rows — by company, team or ownership.

    READY FROM DAY ONE

Not an empty system, a company already set up

An empty ERP is a set of empty drop-downs. PORTWARE brings every new company the configuration an industrial SME expects, an exemplary project and shared knowledge.

Base setupTask ladder, sector taxonomy, product tree, a two-step warehouse, work centres, the 45-hour week.
An exemplary project templateA delivery project with phases, icons, descriptions and estimates; a new project starts from it.

    ROADMAP

    How a rollout starts

An ERP is not switched on all at once. The order starts with the process that hurts most, and every step is left working on its own.

What you gain: You do not change everything at once: you start with the process that hurts most and move step by step.

    FREQUENTLY ASKED

    What buyers ask most

The questions a decision maker brings to the table, and the short answers.

Where does our data live?On the server you choose: your own or PORTWARE Cloud. Backup and recovery are written into the contract.
Does AI take our data outside?Only what the task needs goes out through enterprise APIs; for confidential work a local model keeps the data on the server.
Are we locked in?No. The core is open source (LGPL-3), the data is in standard PostgreSQL, and the AI provider is a setting.
What about our old data?Customers, products, stock and open balances are imported; data migration is its own step in the implementation project.
Does it work on a phone?Yes: installs like an app, receives notifications and takes voice; field and warehouse screens are touch-first.
How do updates arrive? One product, one codebase: every installation takes the next release with notes and a maintenance window.
